01 · Context

The challenge

  • Distributor orders arrived by WhatsApp and phone and were re-keyed into the ERP by a back-office team.
  • Scheme settlements for turnover discount, slab and quantity schemes were calculated in spreadsheets and disputed every quarter.
  • Credit limits were enforced after the fact, not at order time.

Our approach

  • Modelled pricing tiers, scheme rules and credit policies with the sales and finance teams before design.
  • Designed the portal for distributors' staff on mid-range Android phones, not for head office.
  • Integrated with the existing ERP for stock, invoicing and receivables.

  • A Laravel and Vue.js portal with distributor-specific catalogues, pricing and credit checks at checkout.
  • A scheme engine that accrues eligibility in real time and generates settlement statements.
  • WhatsApp Business API notifications for order confirmation, dispatch and payment reminders.
  • ERP connectors syncing orders, invoices and payments without manual entry.
