In many plants, the sales invoice is created in the ERP and then typed again into the GST portal to generate an e-invoice and an e-way bill. The second entry introduces errors, delays dispatch and keeps a person at a desk for work the system should do.
The fix is architectural: treat e-invoicing and e-way bills as steps in the sales workflow with their own states, validations and audit trail.
Validate before you generate
Most rejections come from master data: missing HSN codes, invalid GSTINs, wrong units or distance. Validate those at the point of entry, in the item and customer masters, so an invoice cannot reach the generation step incomplete.
Model the states
An invoice moves through drafted, validated, IRN generated, e-way bill generated, cancelled or amended. Each transition is logged with who, when and the response from the GST system. This makes audits boring, which is the goal.
Handle failures gracefully
The GST network has outages. Queue generation requests, retry with back-off and let dispatch proceed where the law allows while the system completes the paperwork. Never block the loading bay on an API timeout you can recover from.
Join it to logistics and schemes
Vehicle numbers, transporter IDs and distances come from your dispatch module. Scheme discounts and credit notes come from your sales module. When these live on one data model, the e-way bill is generated with the right values the first time.
